Spoken Letters for Business

Make your customers feel remembered.

Turn routine follow-up into something they keep.

Spoken Letters sends your customers real letters — written with real pen and ink on premium paper, sealed, addressed, stamped, and mailed. Nobody on your team writes, folds, stuffs, or stamps a single envelope.

An actual Spoken Letters letter, envelope, and wax seal.

Your customer's inbox is full. Their mailbox isn't.

Every business your customer deals with sends the same things — a confirmation email, a follow-up text, an automated review request, a promotional blast. It all lands in the same place and gets treated the same way.

What everyone else sends

  • An email that gets archived
  • A text that gets swiped away
  • An automated review request
  • A promotional message

What arrives from you

  • A sealed envelope with their name on it
  • A letter written with real pen and ink
  • Something they hold, read, and often keep
  • A reminder that a real business is behind it

It costs less than most of what you already spend to get a customer's attention — and it is the only piece of it they can put on a counter.

What your customer actually receives.

No window envelopes. No printed signature block. No bulk-mail look.

Written with real pen and ink

Your message is physically written on paper with a pen, in the writing style you choose. It is not printed to look like writing.

Premium paper and envelope

Heavyweight stationery and a quality envelope, chosen so the piece feels considered before it is even opened.

Sealed and addressed

Finished with a wax seal — a standard design, an occasion design, or your own company seal — and addressed for mailing.

Stamped and mailed for you

We handle postage and mailing. Your team never touches an envelope.

"Handwriting style" describes the appearance of the lettering you select. Your finalized message is physically produced in pen and ink on paper using that style. Spoken Letters does not represent each letter as freehand handwriting by a specific person.

The moments worth a real letter.

Most businesses already know when a customer matters most. These are the moments a letter lands hardest.

Customer thank-yous

After the sale, the job, or the close.

Referral thank-yous

The single best way to get a second referral.

New customer welcome

Start the relationship as a person, not an account number.

Project or purchase follow-up

Land the ending as well as you landed the sale.

Birthdays

Arrives on a day nobody else is competing for attention.

Anniversaries

One year in the home, in the car, on the policy.

VIP customer appreciation

Recognize the customers who are worth keeping.

Customer milestones

The fifth service, the tenth year, the renewal.

Closing follow-up

Finish a major transaction with something they keep.

Renewal and retention

Reach the customer before the decision is made.

Built for businesses where the relationship is the product.

If your customers refer you, come back to you, or spend real money with you, this works.

Custom branding

Make it unmistakably yours.

Your customer should remember your company — not ours. Business programs can be presented so the letter reads as a piece of your customer experience, from the writing style to the seal on the envelope.

Included

Standard premium seal

A refined, general-purpose design that suits nearly any message. Available on every business letter.

Choose per program

Occasion seal

A seal matched to the moment — Thank You, Congratulations, Best Wishes, Happy Birthday.

Qualified programs

Your own company seal

Your logo, initials, or monogram, adapted into a seal and pressed into every envelope you send.

Seal designs shown are illustrations, not photographs of finished seals.

What we can brand

  • Your logo, initials, or monogram on the wax seal
  • A custom monogram or seal mark
  • The writing style used across your program
  • Envelope and stationery presentation
  • Approved templates your team reuses

What makes a good seal

Wax picks up shape, not detail. Custom seals work best with simple logos, initials, monograms, and bold brand marks. Gradients, fine linework, and small text do not survive the press — but most brands have a mark underneath that does. We can help adapt your artwork into a seal-friendly design.

Custom wax seals are available for qualified business programs. Setup is quoted with your program — send us your artwork and we will tell you what is possible before you commit to anything.

Five steps. Four of them are ours.

You send us the recipient and the message.

One customer or a recurring list. Use your own wording, one of our templates, or let us help you polish it.

You choose the presentation.

Writing style, paper, envelope, and seal — standard, occasion, or your own company seal.

We write it with real pen and ink.

Physically written on paper in the style you selected.

We seal, address, stamp, and mail it.

Your team never handles an envelope.

Your customer receives something real.

And most of the time, keeps it.

Business programs today are set up and run with our team directly — we take your list and your approved wording and handle it from there. We do not currently offer a self-serve dashboard, bulk upload tool, or CRM integration.

What one actually says.

Short, specific, and in your voice. Here is the kind of thing that gets kept.

Example · Real estate closing

Hi Sarah,

Thank you again for trusting us with your new home.

Buying a home is a major moment, and we truly appreciate the opportunity to have been part of it.

I hope you and your family create many incredible memories there.

Please never hesitate to reach out if I can help with anything in the future.

— The Johnson Realty Team

Example · HVAC installation

Hi Mr. Alvarez,

Thank you for letting our team into your home this week.

A new system is a big decision, and we appreciate you trusting us with it.

If anything at all feels off this first season, call us directly — we would rather hear from you early.

Thanks again for your business.

— Dan, Ridgeline Heating & Air

Example · Vehicle delivery

Hi Marcus,

Congratulations on the new truck.

It was a pleasure helping you find the right one, and I hope it serves you well for a long time.

If you ever need anything — service, questions, or the next one — I am here.

Enjoy it.

— Ray, Central Florida Motors

Business volume pricing.

Business pricing is quoted per program rather than posted as a single rate, because the pieces that drive cost differ from one program to the next.

What your quote depends on

  • Monthly volume
  • Letter length and personalization
  • Paper, envelope, and seal selection
  • Custom branding and seal setup
  • Mailing requirements
  • Whether the program is recurring

Partnerships

Make Spoken Letters part of your customer experience.

For companies with recurring customer moments, multiple locations, larger volume, or a workflow of their own, we would rather design the program around how your business already runs.

Recurring customer programs

Every closing, install, or delivery triggers a letter.

Referral programs

Thank the people who send you business, every time.

Anniversary programs

One year, five years, every year after.

Multi-location programs

Consistent presentation across every location or agent.

Add-on to your service

Offer a real letter alongside what you already sell.

Custom-branded programs

Your seal, your stationery, your approved wording.

We are not selling custom software. We are offering a conversation about a program that fits how you work.

Questions businesses ask.

Are the letters actually written with a pen?

Yes. Your finalized message is physically produced in pen and ink on paper. It is not printed with a font designed to look like writing.

Are they handwritten by a person?

No, and we will not claim they are. The writing style you select describes the appearance of the lettering. Spoken Letters does not represent each letter as freehand handwriting by a specific person.

Can each letter be personalized?

Yes. Recipient name and details can change letter to letter, and you can vary the message as much as you want to.

Can we provide our own wording?

Yes. Send us your wording and we use it as written.

Can Spoken Letters help polish the wording?

Yes. If you would rather start from a draft, we can help tighten it and keep it sounding like you. Nothing goes out without your approval.

Can we set up a recurring program?

Yes. Recurring programs are set up with our team directly — every closing, install, delivery, or anniversary can trigger a letter.

Do you offer business volume pricing?

Yes. Pricing is quoted per program based on volume, configuration, personalization, presentation, and mailing requirements.

Can I request a sample?

Yes, and we would rather you did. Request a sample and we will mail you a real letter so you can judge it in your hand.

What industries do you work with?

Any business where relationships, referrals, and repeat customers matter — real estate, mortgage, home services, automotive, insurance, legal, med spa, weddings, property management, and homebuilding among them.

Can our business partner with Spoken Letters?

Yes. If you want to offer letters as part of your own customer experience, or run a large or multi-location program, tell us how your business works and we will design around it.

Can we use our own wax seal?

Yes, for qualified business programs. Your logo, initials, or monogram can be adapted into a seal and used on the envelopes you send.

Can you make a seal from our logo?

Often, yes — but wax picks up shape, not detail. We review your artwork first and tell you honestly what will press cleanly before anything is produced.

What kinds of logos work best as wax seals?

Simple logos, initials, monograms, and bold brand marks. Gradients, fine linework, and small text do not survive the press. Most brands have a mark underneath that works well.

Is custom seal pricing included?

Custom seal setup is quoted with your program. We will tell you the cost before anything is produced.

How does mailing work?

We address, seal, stamp, and mail each piece through USPS. Your team never handles an envelope.

Will your branding be on our letters?

Not by default. For business programs, your brand should be the one your customer remembers. We do not put a prominent Spoken Letters seal on letters you send to your customers.
