Terms of Service

Spoken Letters provides personalized physical-letter preparation and mailing services. Customers may speak or type a message, choose to keep their wording exactly as submitted or request help polishing it, select a handwriting style and envelope, and pay for preparation and mailing through USPS.

By creating an account, submitting an order, using a reply code, or purchasing services, you agree to these policies. If you do not agree, do not use the service.

Account Required

Customers must create an account or log in before placing an order. Account access is used to connect orders, approvals, payments, address verification, reply codes, and customer dashboard information.

You are responsible for keeping your login information secure and for all activity submitted through your account.

Customer Responsibilities

You are responsible for submitting accurate sender information, recipient information, recipient mailing address, message content, and order details. If you choose help polishing your message, you are also responsible for reviewing and approving the final wording before production begins. If you choose exact wording, the message you submit is treated as the finalized wording after staff safety and production review.

Address verification tools may help identify corrections, but they do not guarantee delivery. USPS delivery depends on USPS processing, address quality, recipient mail access, weather, operational delays, and other factors outside of Spoken Letters' control.

Letter Content Rules

You may not use Spoken Letters to create, send, or attempt to send content that is unlawful, threatening, harassing, abusive, fraudulent, impersonating another person, sexually exploitative, hateful, invasive of privacy, or intended to cause harm.

You may not submit content that includes instructions for violence, self-harm, exploitation, stalking, blackmail, fraud, illegal activity, or any other content that Spoken Letters determines is unsafe or inappropriate for mailing.

Spoken Letters may refuse, cancel, or refund an order if the content appears unsafe, abusive, illegal, fraudulent, undeliverable, or outside the intended purpose of the service.

Mailing and USPS

Spoken Letters prepares and mails personalized physical letters through USPS. Finalized messages are produced in pen and ink on paper using the handwriting style selected for the order. Spoken Letters does not represent each letter as freehand handwriting by a specific person. Spoken Letters is not USPS and does not control USPS delivery times, routing, tracking availability, address handling, delays, losses, returns, or final delivery decisions.

Customers may not use this service to mail prohibited, hazardous, restricted, or unsafe materials. Spoken Letters only mails the completed letter, addressed envelope, and any approved reply-code card included with the order.

Approval Before Mailing

Orders may require safety review, wording assistance, formatting, physical-letter production, preparation, and mailing. Orders using exact wording do not require a separate customer wording approval after staff review. Orders using polishing require customer approval of the final wording. Once physical production, postage purchase, or mailing work begins, changes may not be possible.

If you notice an error, contact support as soon as possible at support@spokenletters.com. Spoken Letters will try to help, but changes are not guaranteed after work begins.

Payments

Payments are processed through Stripe. Spoken Letters does not store full card numbers on its own servers. Prices are shown before checkout and may include the selected letter service, reply-code option, mailing preparation, and applicable charges.

Refunds and Cancellations

Refunds may be available before writing, printing, preparation, postage purchase, or mailing has begun. Once work has started, materials have been used, postage has been purchased, or the order has been mailed, refunds may be limited or unavailable.

If Spoken Letters cancels an order because it cannot be completed, appears unsafe, violates these policies, or contains an issue that cannot be resolved, Spoken Letters may issue a full or partial refund depending on the order status.

Reply Code Policy

Reply codes are optional. A reply code allows the named recipient to submit a response online. Reply codes are intended only for the recipient of the letter.

Spoken Letters may reject, block, or remove replies that appear abusive, fraudulent, unsafe, unrelated to the original order, impersonating another person, or otherwise inappropriate. Reply codes do not create an emergency communication channel and should not be used for urgent messages.

Privacy Policy

Spoken Letters collects information needed to operate the service, including account email, name, phone number, sender information, recipient information, mailing address, letter message, order status, payment status, reply-code activity, support requests, and technical information needed to run the website.

We use this information to create and manage accounts, process orders, prepare physical letters, verify addresses, collect payment, provide customer dashboard access, support reply codes, prevent abuse, improve the service, and respond to support requests.

Spoken Letters may use service providers such as payment processors, database/authentication providers, hosting providers, address validation providers, email/support tools, and analytics or advertising tools when needed to operate and improve the service.

We use the Meta (Facebook) Pixel to understand how visitors use Spoken Letters and to measure the effectiveness of our advertising. This may allow Meta to receive information about actions such as visiting our site, beginning an order, creating an account, or completing a purchase.

We do not send Meta the contents of your letters, recipient information, mailing addresses, email addresses, phone numbers, or other customer-entered message content through our Pixel implementation.

You may opt out of future analytics and advertising measurement using the analytics opt-out control below. Your browser or other privacy tools may also block these technologies.

We do not sell customer letter messages. We do not knowingly collect information from children under 13. If you believe a child submitted information, contact support@spokenletters.com.

Data Retention

Spoken Letters may retain account, order, letter, reply, payment status, and support records for business, accounting, fraud prevention, customer service, dispute handling, and legal compliance purposes. Customers may request deletion or correction by contacting support, but some records may need to be retained where required for legitimate business or legal reasons.

Security

Spoken Letters uses reasonable technical and administrative safeguards, but no website, database, payment system, or internet service can be guaranteed completely secure. Customers should use strong passwords and protect their account access.

Important Notice

Spoken Letters is not a legal, medical, mental-health, emergency, financial, or crisis service. Do not use Spoken Letters for emergencies, urgent communications, threats, court deadlines, medical directions, legal notices, or any message where delay or failed delivery could cause harm.
